Privacy Policy
This policy explains what information Pilo collects, how it is used and protected, and the choices available when an organization connects Google Workspace or another business service.
Overview
Pilo is a Contractor Operations Hub for owner-led service and contractor businesses. It helps authorized teams centralize customers, jobs, schedules, crew progress, photos, material lists, communications, and QuickBooks handoff.
Information we collect
- Contact and business information, including names, email addresses, phone numbers, company details, service areas, and job roles.
- Customer and job information, including addresses, schedules, notes, photos, material details, status updates, and financial handoff references.
- Communications provided through calls, texts, email, forms, and connected business channels.
- Account information, organization membership, permissions, integration settings, and security or audit events.
- Usage and technical information, including device, browser, IP address, diagnostics, cookies, and reliability events.
Google Workspace data Pilo can access
When an authorized user connects Google Workspace, Pilo requests only the Google data needed for the Gmail and Google Calendar features the organization enables. This can include Gmail message content and metadata, sender and recipient addresses, subjects, labels, threads, timestamps, attachments, and permission to send email from the connected account after an authorized user reviews or directs the action.
Pilo may also access Google Calendar lists, calendar identifiers, event details, attendees, availability information, and permission to create or update events after an authorized action. Pilo reads the connected Google account email address to identify the source account and sender.
How Pilo uses Google data
- Show customer email threads and relevant communication context to authorized organization members.
- Create editable summaries, suggested details, and draft replies for user review without directly changing canonical customer or job records.
- Send reviewed email from the connected Gmail account and show the sender identity before the action.
- Show calendar and availability context, and create or update events only after an authorized action.
- Maintain connection health, synchronization state, security controls, reliability, and audit history.
Google data storage, automated processing, and sharing
Pilo stores Google data needed to provide connected communications and scheduling features, including relevant message or event content, account and calendar identifiers, attachments, synchronization state, accepted business evidence, and user-reviewable drafts or summaries derived from that data. Connection credentials are encrypted, and data is protected in transit and at rest using administrative, technical, and organizational safeguards.
Pilo may share only the relevant data with approved hosting, security, and automated-processing service providers acting on Pilo's behalf. Those providers are limited to delivering Pilo features and are not permitted to use Google data for advertising, to train generalized models, or to improve products for other customers. Pilo does not sell Google user data or use it to build advertising profiles.
Pilo personnel do not read Google user data except when the user gives explicit permission for support, when access is necessary to investigate abuse or a security incident, when required by law, or when the data has been aggregated and de-identified for internal operations.
Google data retention, disconnection, and deletion
Pilo retains Google data only while needed to provide enabled features, preserve user-accepted business records and auditability, meet security or legal obligations, and complete backup rotation. Disconnecting Google Workspace stops new synchronization and actions but does not automatically delete previously accepted business records. You can separately request access, export, or deletion from the data management page.
Pilo's use and transfer to any other app of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Meta and Facebook data
If you connect Facebook, Instagram, Messenger, or a Meta Page, Pilo may process account and Page identifiers, authorization credentials, connection and synchronization state, Page details, and messages or events made available by that connection solely to provide enabled features. Meta-specific deletion instructions are included on the data management page.
Other uses and sharing
Pilo uses information to provide and secure the product, authenticate users, enforce organization and permission boundaries, support customers and jobs, operate connected workflows, communicate about the service, prevent abuse, and comply with legal obligations. Pilo does not sell personal information. Pilo may share information with contracted service providers, professional advisors, authorities when required by law, or counterparties in a corporate transaction subject to appropriate safeguards.
SMS consent, mobile numbers, and SMS opt-in data are not shared with third parties or affiliates for their own marketing purposes.
Your choices
- Request access to, correction of, or export of personal information Pilo controls.
- Disconnect a supported integration in Pilo and revoke Pilo access from the connected service account.
- Request deletion of eligible personal information and connected-service data.
- Opt out of marketing communications and manage browser cookie settings.
