Privacy Policy
This policy explains what information Pilo collects, how we use it, and how we handle Google Workspace data when a user or organization connects Gmail or Google Calendar.
Overview
Pilo provides workflow audits, intake capture, front-office workflow software, and related services for local field-service businesses. This Privacy Policy explains what personal information we collect, how we use it, who we share it with, and the choices you have when you visit our website, submit a form, communicate with us, or use Pilo product services.
Information we collect
When you interact with Pilo, we may collect:
- Contact information such as name, mobile phone number, email address, business name, and job title.
- Business information such as website URL, business category, service area, and intake workflow details.
- Message and communication data shared through calls, texts, emails, forms, or connected communication channels.
- Account and product information such as user identity, organization, role, permissions, settings, and audit events.
- Usage and technical data such as pages visited, browser and device details, IP address, diagnostics, cookies, logs, and security events.
- Integration data from connected services, including provider identifiers, OAuth tokens, granted scopes, sync state, and provider asset metadata.
Google Workspace, Gmail, and Google Calendar data
If you connect a Google account or authorize a Google Workspace integration, Pilo may request access to Google user data only for the features you choose to enable. Depending on the integration, this can include Gmail message content and metadata, email addresses, labels, threads, attachments, send permission for user-directed email, Google Calendar lists, calendar events, event metadata, attendee information, availability-related data, and the email address associated with the connected Google account.
Pilo uses Google user data to:
- Ingest and classify communications for user-directed intake and follow-up workflows.
- Show relevant communication context to authorized users in the appropriate workspace.
- Create drafts, suggestions, tasks, contact or account suggestions, and scheduling context for user review.
- Send email or create/update calendar events only when a user or authorized workflow directs that action.
- Maintain integration health, sync state, audit history, abuse prevention, security, and reliability.
Pilo does not sell Google user data. Pilo does not use Google user data for advertising. Pilo does not use Google user data to build advertising profiles. Pilo does not allow humans to read Google user data unless needed to provide the service, resolve support or security issues, comply with law, or act with the user's or organization's permission.
Pilo's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
How we use information
We use information to:
- Create and deliver workflow audits, demos, and related follow-up.
- Provide, maintain, secure, and improve Pilo product services.
- Authenticate users and enforce tenant, organization, role, and permission boundaries.
- Operate communication intake, scheduling, account context, task, reporting, and integration workflows.
- Generate user-reviewable summaries, suggestions, drafts, extracted fields, and staged changes.
- Detect abuse, debug failures, monitor reliability, preserve audit trails, and comply with legal obligations.
AI-assisted features
Pilo may use automated systems to classify communications, suggest next steps, draft responses, extract fields, or route work. AI-generated output is designed to be reviewed, corrected, or approved before it changes canonical records or sends outbound communications where approval is required.
How we share information
We do not sell, trade, or rent personal information. We may share information with service providers who help us host the site, run forms, send communications, provide analytics, operate integrations, support the product, or secure our systems. We may also share information with professional advisors, authorities when required by law, or counterparties in a merger, acquisition, financing, reorganization, or sale of assets.
SMS consent is not shared with third parties. Mobile numbers and SMS opt-in data are not shared with third parties or affiliates for their own marketing purposes.
SMS communications
If you provide a mobile number and opt in to SMS, we may send service-related text messages about your request, scheduling, reminders, updates, or account notifications. Messaging frequency may vary. Message and data rates may apply. You can opt out at any time by replying STOP. For assistance, reply HELP or contact us.
Security and retention
We use administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, or disclosure. We retain information for as long as needed to provide the product, maintain auditability, comply with legal obligations, resolve disputes, enforce agreements, and honor tenant or organization retention settings where applicable.
Your choices
You may request access, correction, export, deletion, or help with privacy questions by contacting us. Users may disconnect supported integrations in Pilo or through their provider account controls. Organization owners may manage organization-level integrations, access, and retention settings where available.
Changes to this policy
We may update this policy as Pilo changes. If we make material changes, we will update the effective date and provide additional notice when appropriate.
